Organisers: how to use the tool

As the organiser, start in draft mode so you do not publish anything by accident.
- Leave Published unchecked while you build the event.
- Choose your Fly-in type:
- Use Helipaddy Fly-In tool for booking slots and confirmations emailed to you.
- Simple link to external site if you want to send pilots to your own page. Disables bookings here.
- Enter your Helipaddy Site ID (found in the app site view) or use landing coordinates if you do not have a Site ID, then confirm the map marker/location details are correct.
- Multi‑day events require Slot gap = 0 (no slots).
- Add a Featured image (required).
- Add your Event details URL (this becomes the public link and the external link if you choose external).
- Enter your Organiser email.
- Save changes.
- When everything looks right, check Published.
Pilot experience: If you use the Helipaddy tool, pilots book a slot or ETA, can be required to upload insurance PDF, may need to download your special instructions PDF before submit, receive a request-received email when approval is required (or immediate confirmation when not required), with calendar attachment and your instructions PDF when configured, and can cancel via email link. If you use an external link, pilots go straight to your event page instead.
These options let you fine-tune the booking experience. Most are hidden unless you choose the Helipaddy Fly-In tool.
- Enable bookings: If off, the fly-in still appears in public lists but shows “Bookings closed.”
- Date / Start time / End time: Define the booking window.
- Slot gap (minutes): Set to 0 for open arrivals (pilots enter ETA). Otherwise, pilots choose time slots.
- Max aircraft per slot: Caps each time slot when slots are enabled.
- Max total aircraft: Overall cap for the event.
- Instructions to pilots: Text shown above the booking form.
- Special event instructions PDF: Optional upload. If present, pilots must download it before they can submit.
- Require insurance certificate upload: Optional checkbox. If enabled, pilots must upload a PDF certificate when booking.
- Email confirmation template: Sent after booking (supports placeholders).
- Event password: Optional, to restrict access.
- Show slots booked: Displays availability table to pilots.
- Approval required: Check if you want to approve/reject each booking request manually.
Tip: Keep Published off until you have verified the image, dates, and event details URL. You can edit everything while unpublished, then publish when ready to share.
